Treecycle – Almost complete. Money received to this date is $1,366.00. Placing the signs at Hiddenbrooke increase the amount of trees from this area. Jacob’s dad will assist on the last weekend. Will need to ask him for next to use one of the large trucks from his roofing company? Committee voted not to pay any money to House of Acts for the inconvenience of fielding some of the phone calls due to error in printing the troop’s phone number. We offered to field the phone calls and set up the map for pick up of their trees as well as ours – they said no. So they initially asked and sent an invoice for $500.00 and when we did not respond they chose to bill us again for $100 a week. We have chosen to ignore their requests.

Troop 77 Committee Notes
Summer Camp:
9 Scouts attending Camp Wente will be Malik Flores, Steven Brewer, Neftali Alvarez, Zachary and Justin Freeman, Christian Gray, Isaiah Montez, T-Rey Tosie, and Joshua McClennon. Juan Alvarez will not be attending.
All monies have been paid. About 75% of the scouts have paid their fees to the troop. Need to discuss who has not paid. Juan Alvarez will receive 80% of his fee back due to change of plans. Chuck has spoken to the Wente camp coordinator about this.
Adults attending camp will be Chuck Speir and David Montez. There is no cost for the first two adults attending camp.
Preparation for camp – Packing for camp, Merit Badges and Blue Cards, Proper Uniforms, etc…Do we want to make tie slides?
Treasurer:
Emily Flores will go over monies due from scouts for camp with Chuck Speir and the committee.
Need to decide where the money earned by adults for Treecycle will be used. Do we place them in the general troop fund or in camp funds? Do we use them to sponsor a scout for part of his camp? Matt/Chuck Speir earned $100, Josh Bodin earned $127, Mike Villanueva earned $105, and Stephen Montez earned $26.46.
Brendan Bone also has camp funds that can be used to sponsor a scout - $220.30.
Do we put all the funds in the Steven Patton Camp Scholarship Fund? We need to lay out guidelines for the use of these funds.
Fundraisers:
Valcore – Need a good record of who worked. Tamara Brewer will create and manage a sign in and out sheet.
Tamara Brewer has stepped up as our Valcore representative.
After discussing the pro and cons of dealing with the Valcore Board the committee has decided to continue with Valcore. It is beneficial to the scouts with approximately $300 a quarter coming in to the troop.
Treecycle – Bonus has not been received as of June.
Upcoming Events:
4th of July Symphony and Flags – Mark Kearney is coordinating this activity once again. Will need 10 scouts to carry out the flags. Evan will be doing the speech. Have extra ASMs there in case not enough scouts can be there. Practice will be the Monday before the 4th.
Yosemite/Half Dome on Aug 8-10– Mostly adults will be attending this outing. There will be a couple of older scouts who will be doing this outing as well. Vic Chaney is the contact for this outing.
Planning meeting for next years calendar – the committee would also like to be a part of this meeting so that everyone is involved and on the same page for the upcoming year.
Next meeting is July 20, 2009. Any suggestions or changes for the Committee Notes please e-mail Michelle Speir at dudeipms@juno.com
Troop 77 Committee Notes

Eagle Scout camp funds have been dispersed to Eagle Scouts – Joshua Bodin, Stephen Montez, Taelor McClurg-Wong, and Juan Alvarez unless funds were moved to siblings.

Carl Bodin will be leaving his position as the troop representative for Valcore. In addition to his leaving there will be 7-8 other people leaving their positions. Valcore board will need 8 people to fill positions due to continued conflict with a certain board member.
Will need a new representative from the troop. Possibly Tamara Brewer again?
Question to answer/decide – do we continue with Valcore? Reasons to end relationship - Continue to have less work dates, dates are changed or added with no notification. Harsh reprimand if a board meeting is missed. Less money coming back to the troop and the scouts.
Treecycle
As of 5/18 the troop has not received it’s bonus of $1,000 from Treecycle.

Troop 77 Committee Notes
Treasurer:
E-scrip – money is slowly coming in. Need to sign up more people under Troop 77 – family, friends, alumni, etc…
Fundraisers:
Treecycle – Approximately $1600.00 brought in. 243 hours worked including door hangers. 95 hours of this was donated by ASMs. Smaller amount of trees picked up. 12/27 and 12/28 only a few trees. Put out the remainder of the door hangers. Other pick-up days – January 3, 4, and 10. No pick-up on January 11. For 2009 – drop Area 6; consider advertising Hiddenbrooke in their newsletter and placing a sign at the entrance kiosk.
Popcorn – No spread sheet given to Emily Flores. No clear accounting of sales and breakdown for scouts. Question on hours counted for certain scouts. Not enough planning for Show/Sale sites.
Car Wash – location needed. Possible – gas stations, restaurants, local businesses, etc… with water access. Not a huge money maker but fun for the scouts and good visibility.
Valcore – future additional events we can staff include the Flyway Festival (already staffed for 2009), Crab Feed, 4th of July, etc…

Recharter:
Most families/adults have paid
26 Adults/14 Scouts
A couple only owe for Boy’s Life
A couple of Adults only owe for Registration
Many of the prior adults/Alumni who had registered chose not to register – possibly due to new rules about filling out new adult registration forms
Treecycle:
Will be picking up trees on December 27, 28, January 3, 4, 10, and 11.
Most areas had door tags put out in them. Very good considering tags were late in being delivered to the troop

Fundraiser:

Money received - $2550.00 and Money paid to the Council - $2072.00. Money earned by each Scout will have 30% put into their Camp Fund Account.
Need to look at other fundraising opportunities
E-scrip is bringing in a small amount – need to target families and friends to see a better return. Possible reward – a can of Popcorn for every 5 Safeway #s for e-scrip.
Recruiting:
Need to recruit more Scouts
Two Scouts have moved away in the last 4 months
What options/avenues do we have for recruiting
Summer Camp:
Will be going to San Francisco Bay Area Council Camp WENTE last week in July
Deposit of $150.00 will need to be paid by January 26
Most scouts should have enough in their camp funds by the end of Treecycle.
No council camperships available as this is an out of council camp
Future Activities:

Troop JLT
Camporee
Check calendar

Treecycle may not be available this year due to city budget – Carl is staying in contact with Derek Crutchfield. Valcore
Coastal Clean-up was a success. 50 workers at Blue Rock Springs Park where the Boy Scouts worked. Light work – done early.
Next work day October 20 – Adopt a Street
Last work day of year – December 15
Fundraisers
Two car washes good for 2007. Will look into adding into calendar for 2008. Raised a fair amount of money. Kids had fun.
Treecycle – discussed putting up sign for drop off at Wardlaw Elementary School. Decided against this for several reasons – could get into trouble with using the school lot because people may drop off the trees after we have been there. No control over who drops off and how do we get donation. Also this is not the standard way that the Treecycle has worked in the past. We do not want to step on any toes and lose our territory. Another option would be to contact the tree lots to donate a set amount to take away their trees at the end of the season. Again a negative as this is already being done by Tr. 64.
Treecycle dates –??? 1st Sat. after Christmas. 1st and 2nd Sat. after New Year.
Treecycle – Look into finding a large truck to cut down on trips to City Yard.
ASM/PLC
Open House – good displays, scouts were knowledgeable about their areas. Good dry run to do again. Unfortunately we had no visitors.

Parent Meeting – Oct. 15

Yearly calendar in progress.
Merit Badge books in progress for being replaced.
Closet – Quartermaster to inventory with Mr. Bergstrom’s assistance.
Look into acquiring a storage container to park at the Elk’s Lodge. Cost?
Patrol reorganization – Malik, Nephtali, and Josiah to the Thunderbirds. Isaiah to the Phoenix.
Upcoming Events
Scout-O-Rama 10/6 – Scouts will be building a rope bridge (Mr. Bergstrom has his own ropes, will buy poles. Table display with pictures, flyers, etc… Backpack and cooking displays. Set up at 8:00am. Event 10-2. Lunch will be provided. Sandwiches, chips, drinks, and cookies. Emily Flores and Maria Alvarez will take care of this.
Halloween Party – 10/29. Invite all packs. Games, food, etc…
Eagle Court of Honor – November 24. Troy Patton, Neil Chaney, Jake Loughridge, and Cody Hilton and?

50th Anniversary – Food: Pete McMullen or Maria has a contact (Enrique from Taqueria Rosita in American Canyon) that will put together some choices in menus for us to look at. Decided a buffet would be the easier option for serving food. Cost – depends on menu we choose. Troop will offset some of the cost. Mike Llewellyn has offered to put together a continuous slide show during the party.
Next meeting: October 22, 2007
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir

Quartermaster – Closet very much needs to be inventoried. Closet is very full. We need outside storage for those items not needed on a weekly basis. Options – rent a storage locker, purchase a storage module and park it at the Elk’s Lodge, other ideas…
Tom Bergstrom has volunteered to work with the Quartermaster and the troop to do a ground zero inventory. What needs to be tossed, kept, replaced, or repaired?
Check on equipment that may be in Claude Smith’s possession. Possibly rope bridge items, patrol box, and other items. Maria will contact him.
Recruiting:
September 10 the troop will be holding an Open House. Set up displays from the patrols – First Aid, Lashings, Knots, Cooking, Back pack demo, Scouting memorabilia, etc…Can we get a blurb in the Community Section of newspaper? Families are asked to bring a small snack to share.
50th Anniversary:
Invite troop, alumni, mayor, congressman, etc…We are estimating 150 people.
Food – Pete? Or have Maria check with a contact she has. What type of food?
What do we charge? Does the troop offset the cost? Look into donations from the community. Hal’s Appliances, All Star Rents, Tom Bartee, etc…
Activities-share photos and stories. Slide show?
Look at soliciting donations from alumni for the Eagle Plaque
Next Committee Meeting will be September 24, 2007
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Valcore:
Next Valcore – September 15 – Coastal Clean-up – Boy Scouts will again be at Dan Foley/Lake Chabot. All scouts need to help. This is not a paid Valcore but is instead a community service project we help with.
2nd quarter Valcore – names need to be given to Sharon Chaney ASAP.
Treasurer:
Sharon is setting up our information on the Quicken program. Will take some time to input all the information and get an accurate reading of our financial situation.
Chuck and Michelle will provide Sharon with Camp Wolfeboro accounting for scouts and adults.
Fundraising:
Troop 77’s fundraising is done on two levels.
First is Troop fundraising for the general fund – Car Washes (we have earned about $600.00 plus for two car washes). The kids have fun and it builds not only camaraderie among the scouts and adults but give them a sense of responsibility and pride in their troop, as well as getting them out in the public. Valcore as an account group we receive the donations that have been earmarked for Troop 77. Treecycle – we take a percentage off the top for the general fund.
Second is individual scout fundraising (all of this money earned goes into the scout’s camp fund) – Popcorn in the fall. Valcore – scheduled by patrol, limited opportunities throughout the year. Treecycle – several weekends at end of December into early January.
Concern has been expressed that the troop may be doing too much in having the troop do more than one carwash. Opinions vary – some are okay with it. The kids are enjoying and that is important. We can revisit this when yearly planning is done and look at how many we would like to do. It does help at this time in keeping the troop budget balanced. We run at a deficit on cost of activities. Have tried to keep the cost down per scout on Troop dues and daily cost of outings but these often do not cover the actual cost of an outing.
Other at other possibilities. Voted down getting involved in the Cal Bear games food booths. Decided it takes away from troop activities, too much time commitment (every weekend for 6 weeks through the fall), would need too much commitment from scouts and parents to make it work. Time and effort would be better spent on making the troop stronger in program and recruitment.
New Troop Popcorn Chair – Tom Bergstrom. Will decide if the troop will not only participate in the Take Order sale but possibly the Show-n-Sell.
E-mail List:
Michelle is revising. Will send out to the troop after sending out an e-mail asking if anyone would not want their e-mail sent to the entire troop/alumni list.
Outings:
Some of these will be covered in the ASM planning meeting coming up.
Half Dome – Do we plan it for every year or every other year? Need more participation from scouts. Only two went in 2007.
Summer Camp – Chose Wolfeboro again as it is their 80th Anniversary. Look at alternative for the following year.
High Adventure camps as alternative to older scouts looking for something different and more challenging.
Cherry Valley – Is this still a viable option? Cost is now $500.00 plus and we have to reserve 3 years out. Great camp! Cost may limit how many would be able to go.
Discussed mixing up the outings planned for the year as the troop has a younger contingency and may be more interested in different types of outings or ones that have not been done recently. Add canoe trips – American River, Russian River/Casini Ranch.
Parent Meeting:
Need to schedule
Need more parental involvement
Possibly an Outing Chairman?
Monthly Newsletter – Scout working with an adult. Need to get the information out to the families. Bulletin board is okay but not every parent walks in to view it and not every scout takes the time to view it.
Word needs to get out on the outings – when, where, cost, deadlines for sign up and payment. Adult and scout in charge of an outing need to get the information out to scouts and families or few to none will sign up for that outing.
Scribes notes need to be posted.
Patrol Advisors/Patrol leaders needed to help in getting the word out on activities.
Recruiting:
Silver Gate District planning – 8/16 at the United Methodist Church (Virginia at Sonoma Blvd). Send a person to represent the troop.
Possible ideas – Open house at a Troop meeting, Back to School nites (Middle and High Schools)
50th Anniversary: Actual date – 4/1/58 Party Date June 2008
Need Committees!
Planning: Greeters:
Invitations: Michelle Memorabilia:
Decorations: Debbie and Rosa Cost?
Plaque: Carl Food?
Supplies: Maria
Location: Elk’s Lodge
DATE: Last Saturday in June 2008 so we can tie in with marching in the 4th of July Parade and hopefully the Flag Ceremony at the Symphony’s Concert.
Court of Honor: August 20th
Stephen and Isaiah Montez are doing the program.
This will be a Dinner Pot Luck with each patrol responsible for different dishes.
Equipment/Supplies:
Merit Badge Books – Look at what we need. Utilize the 2008 Requirement Book. Many are out of date. Cost approximately $3.50 each – 60 books. Will need about $200.00.
Troop purchases a wagon to haul equipment at camp, etc… Cost - $60.00. Will look at later to see if another one is needed.
Need a storage locker to store items not needed on a weekly basis. Will make it easier to inventory and to get into the closet. Will look into.
Important Issue: LEADERSHIP
When on an outing the person and persons listed on the tour permit as the Tour Leader and Asst. Tour Leader are in charge of that outing. They are also the ones RESPONSIBLE for that outing. There is a box at the bottom of that tour permit that the place where our troop went can be written up for any and all problems with SCOUTS and ADULTS. Unless there is a major safety issue these are the people in charge of that outing. It does not matter if it is the Scoutmaster or ASMs – those listed are in charge. Please respect them and set a good example for the scouts. Also it reflects on how our troop is viewed by others. Always remember to follow the Scout Oath and Law at all times.
On future outing that may involve another unit - clear barriers need to be set down between them. The leader of a Cub Scout unit is in charge of that group, leader of a Venture unit are only responsible for that group even if those scouts are from our troop, the same with a Sea Scout group, their leader is responsible for them, not OUR TROOP. We in turn are responsible for our unit.
NO EXCEPTIONS
Next Meeting will be August 27, 2007
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Treasurer: Sharon Chaney absent
Valcore:
June 23 – Scorpions/Thunderbird Patrols only
Need to promote Valcore to families and Alumni to bring recycling to Valcore to build account for troop
Fundraising:
Troop at this time does fundraising on several levels
Account Group – kids work and receive money for their camp funds
Member Group – the troop receives quarterly profits
Popcorn – 30% of what the scout earns goes directly into their camp fund
Treecycling – Money earned by hours worked. Credit received for a parent or family member participation. From total money received the troop takes a percentage off the top – approx. $500.00
Car Wash – Concept is to replenish the troop’s funds so we do not need to raise yearly fees. This also puts into the hands of the boys a sense of responsibility to the troop and its continued financial stability and public exposure. Both the boys and parents have had a good time. We did two in 2007 and will look at maybe one more and schedule these events into next year’s troop schedule. All funds earned go into the troop’s funds.
Car Wash:
Scheduled Saturday, June 30, 2007 from 9a-2pm.
Items needed: Shade covers; soap; sponges, squeegees, and brushes; towels; buckets; hoses/splitters; change box and signs. Food – Hot Dogs, chips, and water.
Need to fill out a Unit Money Earning Form
Popcorn:
Tom Bergstrom has stepped up as Tr. 77’s Popcorn Chair
He will work with Eric Freeman for the Take-Order sale in October and maybe the Show-n-Sell in Sept.
E-mail List:
Michelle Speir is revamping the list. Will send out shortly to the troop.
Miscellaneous Items:
Advancement Camp cancelled at this time due to conflicting schedules of those adults involved in this annual activity.
Troop JLT scheduled for September 21-23. Camp Coombs is reserved already.
50 miler prep hike-Pyramid Peak – cancelled due to shortage of qualified adults
Yosemite Half Dome – 7/6-7/8
Summer Camp – Wolfeboro. 7/22-7/28.
Check into alternative summer camps for troop for 2008 and beyond. Camp Merriwether in Oregon.
Silver Gate Contingency for Philmont will be going in 2008.
Boy’s Life – Check with Eileen Ladarre for those scouts who still have not received their subscriptions.
4th of July Symphony Flag Ceremony. Need a minimum of 9 scouts. Time to meet – 11:30. Scheduled ceremony is between 12:30 and 1:00pm. Practice on July 2nd troop meeting. Possible to read speech – Juan Alvarez or Taelor McClurg-Wong.
Reimburse Eric Freeman for half his cost for Scoutmaster training at Philmont Scout Ranch.
50th Anniversary – need to set up committees. Possible Rosa/Debbie for decorations. Carl – plaque of Eagles. Michelle Speir – invitations. Utilize alumni to help plan and put on program. Actual anniversary is April 1, 1958 – 2008. We will be holding a dinner last Sunday in June, hopefully walk in the 4th of July Parade and do the Symphony program.
July 30, 2007 will be the next meeting.
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Treasurer: Sharon Chaney absent
Valcore:
Voted to have individual patrols responsible for Valcore Work Days as opposed to being open to entire troop. This may be revisited in the spring with new scouts coming in.
Important matters to consider when a patrol is working Valcore – date, adult(s), scouts to work, and list of names to turn into the treasurer so that camp funds are credited. Scouts not in the patrol assigned to work will be sent away. When working Valcore, whether at the Sheridan site, Adopt a Street or Farmer’s Market – the scouts are to stay with the group. No wandering around, no visiting friends, no visiting other booths at Farmer’s Market. The scouts are responsible for working that block of assigned time without interruption. There is also a liability issue – when a scout is dropped off to work – the troop is responsible for that scout and needs to know when they sign in, where they are, and when they sign out.
Upcoming Valcore Dates and possible assignments of patrols (subject to ASM/PLC meeting) – June 23(Scorpions or Thunderbirds), September 15 – Coastal Clean-up (all scouts in troop work this one – community service only/no payment), October 20 – Adopt a Street (Phoenix/Wolverines – older scout patrols only), and December 15 (Scorpions or Thunderbirds).
Fundraising:
Car Wash – June 30th. Elk’s Lodge again. 9-2. Question – do we want to an online payment thru Pay Pal – access through Fundraiser section on our website? Also need to decide to add purchasers e-mail address to ticket for a prize drawing? Shall we do this for the End of Summer Car Wash?
FYI – On June 30th the Elk’s Lodge will be a busy place! First Webelos overnight will be finishing up that morning and the Elk’s Lodge will be holding a Flag Retirement Ceremony sometime that day. Can we set up in the same place? We will need as many scouts and adults as we can get! May need another water source? Check on towels, sponges, brushes, etc…Maybe BBQ hot dogs for workers instead of pizza – less expensive!
E-scrip – Emily Flores has taken this over and is beginning to get the word out about how to sign up.
Popcorn is coming up in the Fall – new Troop popcorn chair?
Miscellaneous:
Michelle Speir is updating the troop e-mail list and will send out shortly.
Troop 77 Committee Notes
Treasurer:
Purchased Quicken
Suggested that we download BSA templates to assist in setting up troop’s system
Valcore:
1st quarter check will be here shortly
Check schedule online at valcorerecycling.org
Valcore scheduled 4/14 and 4/21 for Earth Day 9-1 corner of Georgia and Sacramento
Fundraising:
Car Wash – Saturday April 28th from 9-2. Make signs at troop meeting, need towels, soap (Maria), sponges, scrub brush, squeegees, hoses, change, etc… Bring troop banner. Michelle Speir will do up tickets if people would like to pre-sell to family and friends. Send out by e-mail to troop and alumni. Cost – $5.00.
Rope Bridge:
7 new scouts bridging into the troop. Will bridge them at Rope Bridge at Camp Coombs subject to weather.
Recruiter Badge:
Malik Flores needs to be put in for this badge.
Upcoming Events:
Camporee – May 18, 19, 20.
Advancement Camp – June 1, 2, 3
Summer camp – July 22-28. New scouts money due May 3 - $245.00
50th Anniversary of Troop 77:
Actual anniversary date is April 1, 2008
We will be having a celebration! First a dinner on Sunday June 29, 2008 at the Elk’s Lodge for all alumni – scouts, Eagle scouts, leaders, etc… We would like to also have as many of these same people march in the 4th of July Parade – hopefully carrying the lead banner. Details to be worked out. We will need a committee and chair to head this up. Invitations, decorations, etc… will need to be considered. Cost? We are also planning to donate a large plaque with all those in the Eagle’s Nest engraved on it to present to Community Presbyterian church. Details on this also to be worked out – possible small donations from Eagle Scouts? Let’s get going on this! Any ideas are welcome. So far the Elk’s have donated the space and have offered to cook the dinner. Thanks!
Court of Honor:
May 21? Or is it in June? Check calendar.
Next meeting: April 16, 2007
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Treasurer:
Emily Flores will soon be taking over as treasurer
Voted yes to purchasing the basic Quicken software
Two Treecycle checks bounced – will call it a small loss.
Valcore:
Need to post new Valcore schedule
Saturday April 14 will be a make up day – open to any scout
Saturday April 21 will be a scheduled Valcore but we will be working Earth Day for them at Farmers Market. Duties will be announced next month.
Need to create a Valcore Flyer for the bulletin board as well as to e-mail out to families and alumni. Maybe a scout can be assigned this job in conjunction with Michelle, secretary.
There are several scouts who need to work Valcore to replenish and to pay back their camp loans / funds. Secretary and treasurer have these names.
Fundraising:
April 28th will be our first car wash of the year. The money earned will go into the general fund to help offset our budget for the year.
Needed – Make reusable sandwich board type signs – good project for patrols – maybe at a troop meeting?
Create “Pre-paid tickets” to sell at troop meetings or online to alumni. Again a good project for a scout. Need help from Patrol Advisors on this.
Future dates for car washes – June 30, Sept.? and Oct. 6?
Recharter:
A couple of non payments.
A slight mix-up in who our Charter Representative is – Betty Heise is still our direct contact with the Community Presbyterian Church. Maria Alvarez will take care of getting her on the registration list as well as taking Jon Reed off and replacing him with William Dane who also represents the church. Dane is also the Venturing Crew 7012s Charter Rep.
Troop 77 Committee Notes
January 29, 2007
Treasurer’s Report:
Emily Flores will be taking over as treasurer within a few months
Voted to purchase Quicken software for Treasurer’s use – approved
Valcore:
4th quarter paid
Need to get word out on bringing recyclables to Valcore to donate directly to our troop
Adults please turn into the treasurer the boys who worked the Valcore with you. It is too difficult to retrieve the names from the Valcore office. Also those names are removed at the end of their fiscal year in June or July so we would have no record available of who worked throughout the year.
Registration:
Difficulty in payment from some families
How do we approach it?
Emphasize scout oath – “Thrifty”
How do we go about getting payment?
Do we honor parents request to take it from camp funds? This goes against the usage rules for camp funds
Many questions to still answer!
Scout in question – family has been notified, spoken to, etc… on numerous occasions. Has refused to acknowledge or pay. Voted to take the $75.00 registration from his camp fund. Maria Alvarez brought it to the table – Sharon Chaney seconded it.
Fundraising:
Car Wash dates? – April 21 or 28 / June 30 or July 21 / September 1 or 8 / October 6. Eric Freeman will check on dates with the Elk’s Lodge.
Popcorn – three returned checks. Will give to scout family to take of if possible. Scout with money owing is making payments. Reminder amount owed is equal to the troop’s profit. Hope to be paid off by March or April? Camp funds for this scout still on hold. Sharon has moved camp funds into other scouts accounts in the meantime.
E-scrip – Emily Flores agreed to take this over from Michelle Speir
Troop 77 Committee Notes
Treasurer’s Report:
Emily Flores is being put in for the new Treasurer. Just a few details to be settled.
Signers have been changed on the checking and savings accounts.
Discussed purchasing the Quicken Software for the treasurer’s information. Cost is about $40.00 for the less expensive version. It was decided to let the incoming Treasurer make the final decision.
Valcore:
3rd Quarter – July to Sept. 8 Scouts worked.
PLC/ASM – emphasize to adults that when a scout works Valcore that the MUST sign in to get credit. Also the adult in charge for a Valcore work day needs to gather the names of those who worked and turn them over to the TREASURER for credit. It is too difficult to retrieve the names from Valcore especially at the end of their fiscal year in July. All the books are cleared out.
Check the Valcore dates with the planner.
Fundraising:
Car Washes – Have PLC/ASM decide on 3 dates. One in the spring, one in summer and one in the fall. Check with Eric Freeman for okay on these dates. Also we will pre-sell tickets as well as on site. Need to make posters and gather materials. * We have cleaning rags so these will not need to be purchased. Three car washes could possibly erase our anticipated short fall on our budget.
E-Scrip – need someone to take on this fundraiser. Primarily need someone to track the profits, get the word out and sign people up or show them how to do it online.
Popcorn – all scouts have turned in their money except for one. Amount owed is substantial. Discussed ways to solve this problem as the funds missing are equal to the troop’s profit. This profit is dispersed into the camp funds of those who sold popcorn. Summer camp payments are coming up in February so these scouts’ camp funds will be needed soon.
Miscellaneous:
Upcoming caroling at Merrill Gardens – Meet at church at 6:30 to be there by 7:00. Each patrol brings a couple plates of treats for hot chocolate and cider after the event. Girl scouts and cub scouts will be joining us. Will bring ornaments and cards to give out to seniors.
Court of Honor went well. Successful table of items for the military troop donations. Check with Community Presbyterian about doing this again.
Suggest donation of large Styrofoam cups to the Christian Help Center.
Next Committee Meeting: January 29, 2007
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir

Fundraising:
Voted to have 2-3 Car Washes throughout the year at the Elk’s Lodge. Have opted out of a yard sale at this time due to difficulty in storing items for the sale.
Need to find someone to take on the Scrip program for the troop – promote it, get information out to the troop and alumni.
Other ideas are welcome.
Next Committee Meeting: December 11, 2006
Any suggestions, changes, comments, etc… please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Recharter:
Due December 15, 2006
Revise and send out a more detailed letter with more information on what the dues are used for, breakdown of National Dues, etc…as well a portion where family information can be updated.
We will continue with the dues at $75.00 unless a parent/adult family member is involved in helping with the troop (at the discretion of the committee chair) then the dues will be discounted.
Treasurer:
Continuing to look for replacement.
Requested to purchase Quicken Software to assist in the bookkeeping. Cost approximately $40.00 at Costco.
Need to change the signers on the checking and savings account. New signers will be the new treasurer, Maria Alvarez (comm. Chair),Michelle Speir (secretary), Eric Freeman (upcoming SM?), and Betty Heise (Charter Rep).
Valcore:
2nd Quarter (April-June)
3rd Quarter (July-Sept.)
Names of those who worked these quarter is needed ASAP in order to input the money earned into scouts camp funds
New calendar is available to be incorporated into the 2007 troop calendar.
Camp Loans:
Do we send forms to 2 scouts who received camp loans for Wolfeboro? Both of these scouts were delinquent in their loan repayments for 2005 camp.
Bylaws/Parent Packet:
Find copy of Bylaws and Parent Packet.
These both need to be revised and updated.
Outings:
Hornet (12/2-12/3)
Cost is $60.00 per person. Committee voted not to subsidize this outing. When doing this outing two years ago we had voted to offset the cost with a special donation from the Silverado Concours deElegance in return for our helping with trash detail at their event. This event is no longer in Vallejo. Consequently we did not receive a donation and cannot offset the Hornet outing this year. Camp funds can be used if there are camp funds in that scouts account.
Fundraising:
Yard Sale? Contact Edie Parsons at the church for open dates and storage. Possible dates Apr. 21 or 28, 2007 or May 5, 2007. Will revisit this in November.
Annual Budget Meeting: October 23, 2006
Next Committee Meeting: November 13, 2006
Any suggestions, changes, comments, etc… please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Upcoming events:
September 11 – Court of Honor. Dinner pot luck at the church. Matt Speir mc.
October 14 - Silvergate District Scout-O-Rama – Troop will be building a rope bridge among other things.
October 21 – Troop Yard Sale. Doretha Patton and Sharon Chaney will be chairing this event. Eric Freeman will be our contact at the Elk’s Lodge for storage space, yard sale space, etc…Watch for dates for drop offs of donations.
Valcore:
August 19th Eric Freeman graciously agreed to head up the group of kids participating. Treasurer needs the names for camp funds.
1st quarter (Jan/Feb/March) is settled. 2nd quarter names are needed to finalize camp fund amounts.
Camps – All camps went well. Treasurer had difficulty balancing what funds came in and went out. Need better accounting from people heading up camp. Large discrepancy in balancing camp monies – over $3,000.00. ADDENDUM error found only off approx. $200.00. Never the less a standard form is needed by all the ASMs when heading up a camp contingent. Sharon Chaney has a standard form to be used – see her about e-mailing it to you. Note two campers were given troop camperships. Contracts need to be signed! Repayment needs to be done in a timely manner.
Advancement Records: Need to be updated by Patrol Advisors. See lists that were handed out.
Fundraising:
Popcorn is coming in October
E-Scrip needs someone to take charge of it. Get the word out on a regular basis; enlist the alumni and families of scouts, etc…to make this a more productive fundraiser.

Any suggestions, changes, comments, etc… please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop Committee Meeting
Discussed having a new fundraiser. Diane Freeman to talk to Eric Freeman about having a Yard Sale at the Elks Lodge. Will need to have place to store items before the sale.
To help raise funds for troop, Valcore will recycle your cans and give the money to the troop.
Sunday, July 30 all Scouts and Scouters attending Camp Wolfeboro will meet at the Church at 8:00 am. They will be coming back on Saturday, August 6th.
Question has come up whether scout funds can be donated to another scout to use for summer camp. Have decided that the scout and parent can donote scout funds if they so chose to do so.
Question came up if the troop would volunteer to work for Valcore at a summer concert on Sunday, July 30th. Will check with scouts to see if there is any interest.
Carl Bodin is checking with Council to make sure advancement records are updated and correct with troop records.
The next Court of Honor will be on Monday, September 11th. Discussed having it at Camp Coombs and having a BBQ.
Need to make sure that all the boys who are attending Camp Wolfeboro have troop shirts.
Troop still needs 1st quarter check from Valcore. Carl Bodin to get check and give it to Sharon Chaney.
Next Committee Meeting will be on Monday, August 21st.
Troop 77 Committee Notes June 12, 2006
Camp:
Camp Loans are not limited to new scouts. But again a reminder the family will be required to put up half the cost up front and will be billed for the other half over the course of six months from the end of camp.
Camp Loans – could be donated from another Scout but Scout receiving funds needs to put in time – matching slush funds? This needs to be clarified!
Camporee:
Diane Freeman will provide the list of names to have money taken from their camp funds to repay the troop 20.00. The troop went ahead and paid what was owed to Camporee.
Recharter:
Each patrol advisor will be provided with a recharter list / advancement information to look over and make sure everything is current. If not please let Maria Alvarez know so she can make corrections and forward to the council.
Court of Honors:
Changed for the rest of the year. Will not be the last Monday of the month so as to not conflict with the Valcore Board Meetings which are required to attend.

Next meeting July 24th.
Any suggestions, changes, comments, etc… please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes May 15, 2006
Valcore:
Street Clean-up – give names to Sharon Chaney
Up to date on everything – received checks
City is still in review stage for continuation of the Valcore program
Fundraising:
Need to brainstorm some new fundraising efforts
Need to advertise our e-scrip – though this only brings money into the troop not individually into the boys’ camp funds.
Yard sale – revisit this in the fall. Need a place to receive items, sort, price and move to sale location. Check with the Elks Lodge?
Camporee:
Troop owes Camporee 360.00 for 14 boys and 4 adults @ 20.00 each. These were not collected beforehand and paid at the event. Check issued by Sharon to Diane Freeman. Money will be collected or deducted from scout camp accounts.
Camp:
Cherry Valley – June 17-24
Philmont – July 8-21
Wolfeboro – July 30 –Aug.5
Camperships – 6 (?) boys not going to camp because of funding. Unable to come up with the ½ needed upfront. After discussion there may be less boys than this not able to go. Those in need of funding have been in the troop over a year and some received camperships in 2005.
Recharter:
Have not received official recharter at this time. We would like to have for the Court of Honor at beginning of June. Ask Kate Banner to present it to church.
Three families have not paid their troop or national dues at this time. They have been contacted through mail, phone and e-mail. No responses. Voted to call it a draw/loss.
Need also from council the advancement data and other information on the scouts and adults registered with the troop to put into the Troopmaster file.
Court of Honor:

Troop 77 Committee Notes
Treasurer’s Report:
Philmont money is being tracked through Troop 77’s account. Sharon has added a separate column for this money coming in and going out.
Camp Funds are up to date.
Camp Loan letters were sent. Jovan Lara has repaid his loan almost entirely from the 4th quarter of Valcore. He has a balance of $58.36. Question – Do we erase the remainder of his loan so any monies earned after Treecycle can go into his camp fund? Bradley Hines still owes $151.51. There will be an explanation for this at the next committee meeting.
Update on the accounts at the council. We have two accounts. Neither can be closed. We will not use the store account or change the names on the account. It is easier to purchase items and be reimbursed by the troop. The council office account has a small amount of money – under 50.00? This is money left over from recharter. It can be used for a Scout or adult registration if necessary.
Recharter – Out of 5 non-paid, two have now paid with three still unpaid. Where is our Charter. Maria will check on. We wanted Kate Banner to present it at the next Court of Honor.
Valcore:
We are updated through last quarter of 2005. Time sheets are needed for the first quarter. We have agreed to go back to the original format of the adult in charge of the Valcore event / service write down the names of those who worked and send them to Sharon Chaney. She will then be able to keep camp fund records up to date.
Change the troop calendar to reflect the changes in our work days for 2006. There are only a couple of changes.
There may be a change in how Valcore operates. There is a possibility that there will be no more fundraising from this outlet. We will know more as the year progresses. Need to find alternate fundraising opportunities if this happens
Fundraising:
We have postponed our Troop Rummage sale. We were not able to have access to space in the church to store donations and did not have an alternate plan at this time. Possibly reschedule for fall? Maybe October? We need to check with the church about the availability of the parking lot and storage area for a couple of weeks.
New Scouts:
Three Webelos scouts from Pack 12 at our annual Rope Bridge event.
Philmont:
Transportation money due by end of May. Carl Bodin is handling this in conjunction with Sharon Chaney. Please see them with questions on amount due as well as camp funds available.
Miscellaneous:
Michelle will e-mail troop with the church rules on our usage of the facilities.
Plaque for All Star Rents – is it done? Does Mark Kearney have it? We would like to present it at next Court of Honor is possible.
Troop 77 Committee Notes March 13, 2006
Treasurer’s Report:
Camp Fund is current
Registration – 5 families are non-current (no National or Troop dues paid). Question – what do we do? Another reminder? Possibly pull from camp funds. No answer at this point.
Send letters to those families who did not repay camp loans. They will not be eligible for further council camperships or troop camp loans unless repayment is made. At that point they may be considered eligible by vote of the core committee. Note: revisions will be made to the contract for the troop camp loans. The families will have to pay half the camp loan in order to qualify for the loan of the other half instead of the $50.00 we asked for in 2005.
Valcore:
March Valcore will be open to the troop as several of the Raven Patrol will be unavailable due to school and OA commitments. Eric Freeman and Jaime Guzman will be the adult advisors.
We are all caught up on our absences.
We are missing the 3rd quarter payment as well as the 4th quarter payment of 2005.
Sharon needs the names of those who worked the 4th quarter. Paul Roberts will check on this and get a copy of the sign in sheet.
Mark Kearney attended the February board meeting – went well.
Request definite change of date for the Courts of Honor so as not to conflict with the Valcore board meetings (mandatory) on the last Monday of each month. Possibly the 3rd Mondays?
Fundraising:
Troop 77 Yard Sale – June 3rd. Use parking lot. Storage room to use? Put out flyers to families in the troop, alumni, and the church congregation for items. NOTE: We will not be having a yard sale on this date due to no place to put items gathered at this time. Move to fall?
Medusa Run – consider applying one of the grants. Papers due in 3/20/06. Have to write out what the grant would be used for. Needs to motivate them to consider funding that item, outing, camperships, etc…Not much time to write – shall we give it more thought and apply next year. Also what is involved in participating – selling tickets, working the race, manning stations, etc…???
New Scouts:
Rope Bridge – March 15, 2006 to bridge those Webelos bridging into the troop from Pack 12. 3 to 4 boys?
Need to purchase Scout Books. They will be given Scout Book, neckerchief, and the double 77 patch for their shirt.
Philmont:
Camp funds can be used for transportation.
Troop 77 will front the check to hold the reservations for the transportation. This will be returned after full payment is made.
Miscellaneous:
Use of the church – Scouts must remain in the large room. This is the room that we are assigned to.
No scouts in any other room without adult supervision.
No scouts or siblings allowed to roam around church without adult/parent supervision. There are liability issues.
Do not disturb the meetings going on in other rooms.
These are the church’s rules for the Troops use of the building.
Please follow these rules so that no one person has to be a policeman for the kids.
Troopmaster – Carl Bodin is contacting Eileen Ladarree to download the information on the scouts in our troop.
Charter – Kate Banner will present this to the Church.
Plaque for All Star Rents - Mark Kearney has it.
Change names on council store and council office for purchases? Clarify the status of the two accounts.
April 24, 2006 – NEXT MEETING
Any suggestions, changes, comments, etc… please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes
Treasurer’s Report:
Sharon has gone through the camp fund list and removed those names that have not been with the troop for some time. The funds from these boys will be put into the troop’s general fund. She will retain a record of what they had in their camp funds so that if they did return to the troop or joined another troop the funds would then become available again.
Camp Loans – Letter will be drafted for those who did not pay back their camp loans. They will not have the opportunity to participate again in this program with the troop and will not be put in for council camperships. We will revise the guidelines for giving these loans in the future including the amount up front the family will have to pay(for example half up front instead of only $50.00)
We need to contact James or the council to change the names on who can use the account at the store for supplies.
Recharter – we have 29 boys and 35 adults registered. We have only a few who have not paid the troop fee or the National fee for registration.
Valcore:
3rd quarter check has been released.
Need a better accounting still of the boys who work Valcore.
4th quarter check is being held until make-up project has been completed.
Carl Bodin has requested that Mark Kearney be listed as the primary representative for Valcore because of continued conflict between Jane Bogner, Valcore board president and Carl. We need to find a permanent replacement for Carl.
Barrier to finding another representative for Valcore is the conflict of Troop 77’s Courts of Honors held on the last Monday of the month each quarter and Valcore’s monthly meetings held on the same night. These monthly meetings are mandatory. Need to speak to Chuck Speir about changing future Court of Honor dates so we may get a new or continuing parent to be a Valcore representative and not miss a Court of Honor.
Fundraising:
Treecycle – We brought in $2,106.00 which after taking off $500.00 off the top to put into the troop’s general fund will be dispersed among the boys who worked and the time they worked.
***Next meeting will be March 13, 2006
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop 77 Committee Notes January 23, 2006
*No committee meeting was held in December 2005
Treasurer’s Report:
Troop’s accounts are in good shape
Missing a quarterly Valcore check?
Note – Philmont fundraising monies earned were deposited into the troop’s account. Sharon will track this and will disperse to those scouts going to Philmont in July 2006.
Camp Loans – four families still outstanding for a total of approximately $685.00 How do we approach this at this time. Original contract said 6 mo. from end of summer camp, the loan must be repaid. In a follow up letter we voted to allow only monies earned until the end of the year so they would not lose ground for next summer’s camp. Based on what has not been paid so far it was agreed in January to rescind this decision and use their monies earned from Christmas Tree recycling to recoup some of the money loaned out. This leads to the next step of what do we tell these families when they want to send their boys to Wolfeboro this coming summer? Michelle will type up a follow-up letter requesting payment and spelling out some of these items of concern. * Also we will need to rewrite the loan agreement if we go ahead with this in the future.
Need to add a signer on the checking account who is attends troop meetings on a more regular basis than the ones who are currently on the list.
Bridging Scouts:
We will soon be having Webelos scouts bridging into the troop. We will need to purchase handbooks, red epaulets, and ?
Supplies:
We need to an inventory of our Troop T-shirts and order new ones if necessary.
Thank-you:
We are ordering a plaque for All Star Rents for their continued support of our troop at Christmas Tree Recycling. They donated 5 trailers over the course of three weekends to use in picking up the trees. The owner and his son of All Star Rents were alumni of Troop 77.
Fundraising:
Yard Sale – we are planning a Troop 77 Rummage sale on June 3rd *confirmed in the parking lot of the church. We have the ok to gather items in a room for a couple of weeks before. We need to advertise to both the troop and the church members to bring items in. Mark Kearney was instrumental in arranging this. Will need to contact the Johnson's for signs, etc…
Scout Sunday:
We are still working out the details on this. May need to go into March for this. Also it would be nice to not only attend the service but to provide the altar flowers or possibly a living plant for indoors or out.
***Next meeting will be February 13, 2006
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com Thank you Michelle Speir
Troop
77 Committee Notes – November 14, 2005
·
Treasurer
1.
The Troop 77 account at Council office will not be closed entirely. It
will remain open but will not be used by our troop.
2.
E-scrip profits 2nd quarter $.14
3.
Camp fees not paid? Possibly Jesus Esparza, Michael Villanueva, and
Taelor McClurg-Wong. Carl Bodin will check on these but based on deposits made
we believe they have been paid. The treasurer needs a better accounting of who
has paid for camp. Please write on check what event it is for so she can better
track money owed or paid.
·
Budget
1.
Need to vote on – 1st and 2nd year Scout budget
for more patrol outings (they need these for advancement activities). Possible
amount would be $200.00 per patrol or for all new patrols??? Keep
in mind the cost to Scout will be $ 5.00 per day. Allot a certain amount
each quarter or for the year? Scoutmaster and ASM are asking patrols to plan 1
patrol outing per quarter.
2.
Spring Rummage Sale for a fundraiser. Mark Kearney will check with the
Johnsons to see if they would like to assist or advise on this. We need someone
to head this up soon so we can begin to gather, sort and price items.
·
E-scrip
1.
Need to get the information out to the families again as well as the
alumni. Michelle Speir is supposed to be handling this but maybe we can find
someone to take on this one job.
·
Training
1.
Adult training – New Leader Essentials, SM/ASM Indoor and Outdoor
Training. Approximate cost $35.00. Need to vote – Troop pays !00%
2.
Woodbadge – Advanced leader training. Approximate cost $230.00. What do
we want the troop to pay or not pay?
3.
HAT – Core training - Paid by troop 100%?
Troop pays 50% of additional training such as rock climbing, Okpik,
etc…contingent upon agreeing to leading a specific outing relating to that
training. Question – do we have that person pay in total up front then is
reimbursed after completing the outing or ?
·
Upcoming events
1.
Pampanito – Dec. 9-10
2.
Craft night– Dec. 12
3.
Christmas caroling – Dec. 19
4.
Ice Skating – Dec. 18
5.

6.

7.
Christmas Tree-Pickup – 12/31, 1/7&1/8, 1/14
Troop 77 Budget
Meetings Notes
October 17, 2005
·
Treasurer
1.
Valcore – Need to be more accurate in giving names of those who worked
to Sharon. There were discrepancies between what names were on the list at
Valcore and the names turned into Sharon. Amounts going into camp funds had to
be readjusted for 1st and 2nd quarter. As a member group
we received $19.74 from recycling brought in and credited to Tr. 77. 3rd
quarter Valcore participation is not reflected in current camp funds.
2.
Camp Funds earned in fundraisers until the end of 2005 will go towards
any outstanding Camp Loans. Camp Funds earned after January 1 will go towards
2006 camp, outing, equipment, etc…They may not be used to pay off the prior
years camp loan because this would erode their build up of funds for the
existing years camp.
·
Expenses
1.
Leader Training – do we want to begin reimbursing those who go to the
trainings?
2.
Questions to consider – do we pay in total the training cost for a
Basic Training which would involve New Leader Essentials, Scoutmaster/Asm/Committee
training, and Outdoor Leader Training? Basic cost for this will be approximately
$35.00 total.
3.
For extra training such as HAT, Woodbadge, etc…? Possibly with HAT
(High Adventure Training inc.OKPIK, Basic Backpacking Awareness, Rock Climbing,
Water, etc… Criteria could maybe be that they pay up front and be reimbursed
after taking the leadership role on an outing utilizing that training?
4.
Council/District NYLTs (JLTs) – If we are going to send boys to these
training events do we need to revamp how they are paid? Example, we send someone
to this training. They have paid $50.00 in and the troop pays the balance of
about $125.00. The Scout comes back, does not complete his challenges, and does
not utilize his training for the troops benefit. There are no checks and
balances. No responsibility or follow through on the part of the Scout. Do we
try a different method – possibly requiring them to pay the whole amount or a
larger portion until their challenge or commitment to a leadership role in the
troop has been completed to the satisfaction of the Scoutmaster and the ASMs?
**Further discussion and vote is needed.
·
Registration
Do
we keep the fee the same for 2006? Yes, it will remain at 75.00 with discounts
for multiple scouts in a family and family participation.
·
Fundraisers
1.
Popcorn Sale is upcoming. Again the 30% that we get from Trail’s End
goes into the Scouts camp funds.
2.
Spring Rummage Sale – need someone to organize it. If we are going to
do it we will need to get the word out so that items can be gathered, sorted and
priced.
·
Patrol Outings (discuss more next
meeting)
1.
Questions that have arisen – Patrol activities-Is the troop responsible
for any expenses incurred on these outings? Do we limit the amount to say a
budget of possibly $200.00 per year for 1st and 2nd year
scouts? Do we do a certain amount for every patrol? Does an expense need prior
authorization? Does the $75.00 count towards patrol and troop outings or one or
the other? Added note patrol advisors need to collect the $5.oo per day from
each Scout and adult and turn that in with the expense sheet and receipts with
names, dates, and outing written on them. This will help our treasurer know
where the money was spent, on what and by whom.
·
Upcoming events
1.
Scouting for Food – Josh Bodin is to coordinate this for his JLT
challenge? Nov. 12th – bag drop off. Nov. 19th-
pick up food.
2.
Rock Climbing – Nov. 6th
3.
Laser Tag – Nov. 12th afternoon
This was a budget meeting.
No regular committee meeting was held.
Next regular committee
meeting will be November 14th.
Troop
77 Committee Notes - September 19, 2005
·
Treasurer
–
1.
Sharon Chaney will check on the status of the closed account. Received a
recent statement from the council office and it is unknown at this time if the
account is actually closed.
2.
Received check in the amount of $95.00 from the San Francisco Bay Area
Council for overpayment.
3.
Repayments for Summer Camp are slow in being paid. A reminder that
repayment from these families needs to be made so that future camp fund earnings
go toward next summer’s camp. Remember the time limit of six months for
repayment and the ramifications of not repaying.
·
Recruiting
– Fire up for Scouting for the
Silvergate District is coming up in late September. They will also be attending
Back to School Nights. Could we provide a hand out or flier to place on the
table.
·
Fundraising
–
1.
Popcorn packets will be handed out next week. - A reminder that the 30%
profit from each boys order will go into their camp funds. The sale lasts until
late November. Eric Freeman has also offered to do the Salesmanship Merit Badge
with those who are interested.
2.
E-scrip – We are just beginning with this. A mass e-mail will be sent
to the troop and the alumni to inform them of how to enroll.
3.
Valcore – Sharon needs the names of those who worked the second and
third quarters in order to update the boys’ camp funds.
Carl Bodin has taken on the responsibility of scheduling the groups for
Valcore. Our obligation will be about every 10 weeks because of the number of
groups now involved in Valcore. Their profits continue to climb so the amount of
money coming into the troop should not be affected. Again there are two ways the
troop earns money from Valcore. One is to turn in your recyclables of cans and
bottles and specify Troop 77 as the group the donation will go to. The other
opportunity is through the work days which are being scheduled by the ASMs for
the upcoming year. Each patrol will have a chance to work. Encourage the boys to
take advantage of this opportunity to earn camp funds.
This also is information that needs to be sent out to the troop and the
alumni.
·
Service
– Our troop participated in the
Coastal Clean-up through Valcore. This was for service hours not for money. The
Boy Scouts were responsible for the Dan Foley Park area.
·
Scoutmaster
– Again a reminder that our Scoutmaster
Chuck Speir will be out of town for the next three months with a possible visit
for the holidays. Claude Smith will be the acting Scoutmaster with the other
ASMs assisting in many ways!
·
***Note
- Next meeting will be a budget
meeting only on October 17, 2005. We will go over the budget for this year and
next and determine if the yearly fee needs to be increased among other items.
Troop 77 Committee Notes
– August 15, 2005
Wolfeboro: sending in the deposit of $200.00 for July 30- Aug.6, 2006. This is one week later than the troop usually goes due to returning Philmont attendees getting back late in July. Cost will be $225.00 by March 23, 2006 and incoming Webelos have until May 4 for this price.
Philmont: Dates are July 8 – July 23, 2006. Several of the older
scouts will be attending as well as several adults from Tr. 77.
White
Water Canoe trip – very low attendance again.
Need to work on getting the boys on outings. Was it scheduled too close to summer camp? Possibly but not sure again why only a few attended this outing.
Any suggestions, changes, comments, etc…please send them to me at dudeipms@juno.com, Thank you, Michelle Speir
NEXT MEETING
WILL BE JULY 18, 2005
Any suggestions,
changes, comments, etc… please send them to me at dudeipms@juno.com,
Thank you, Michelle Speir.
Troop
77 Committee Notes – April 18, 2005
·
Treasurers report – Financially our accounts are in good shape (
see treasurers printout)
·
Letter was drafted to the Scout Office to close out our account as
we no longer use it and the names on access list are outdated. Secretary will
put it on a masthead and mail it.
·
Valcore – No ALTERNATE has been found at this time. Solution
that came up is to ask an alumni to become one of the alternates. The conflict
with using current parents is that Valcore holds its’ mandatory board meetings
on the last Monday of the month. This is once a quarter the same night as our
Courts of Honors. Missing Valcore
assignments have been made up. They will release the quarterly check.
·
We received a donation of $500.oo from the Concours de Elegance
for our help last June of 2004. This will probably be our last donation from
them as they will be moving the event to Marin County in the future.
·
Outings concern – We have been having a very low turnout on the
outings for the year so far. Possibly solutions – e-mails, handouts, and phone
calls. Maybe more guidance from the patrol advisors. We may have to cancel
outings, lessen the outings for next year, etc…if the low attendance
continues.
·
Royaneh – Final payment (before cost goes up) is at the end of
April. New medical forms will be needed for summer camp. Unable to locate last
years to see if any are still valid. More info on what is needed for camp will
be coming in June.
·
Clarification on Troop Camperships: The steps are as follows.
o
1. Request goes first from the patrol advisor to the Scoutmaster
and the camp coordinator.
o
2. Application is filled out and signed by the family. This form
spells out amount due, payment schedule, etc…
o
3. Family of the Scout will have to pay 20% of the full amount or
$40.00 as a down payment to the troop.
Note –
Camperships are available to new scouts, recently bridged scouts and financially
challenged scouts and their family. A Scout must participate in troop outings, meetings,
fundraising, etc… or a campership in the future to this Scout will not be
considered. Repayment will be made
to the troop within 6 months.
·
Council and other district JLTS – Jake Loughridge has been
chosen for Brownsea and Edward Geluz has been chosen for John Muir JLT. Each
will pay $50 to the troop with troop picking up the remaining balance of $125
each.
·
Troy Patton received his award for completing Baden Powell JLT.
·
New scouts bridging in – Pack 118=3 boys and Pack 12=4 boys.
·
Vic Chaney has offered to write an article about our trek up Half
Dome this year and submit it to Boy’s Life.
·

·
Silvergate District Dinner will be on May 12th at the
United Methodist Church (Virginia at Sonoma Blvd). Everyone is welcome. There
will be someone honored from our Troop for the Unit Scouter of the Year as well
as some individual recognition for individuals in our troop and the district.

Earth Day is April 23rd. There will be people there
recruiting new cub and boy scouts. We will need an information sheet to hand
out. This is also our required Valcore Day.

77 Committee Meeting Notes
·
Michelle
Speir contacted the
registration office at the National Scout Offices in Texas. The official 50th
anniversary of the troop is April 1, 1958. We have time to plan the party!
·
Fundraising
– we opted out of the
Holiday Wreath fundraiser this year. Maybe next year.
·
Scouting
for Food went well. Didn’t
quite cover all of our areas – a couple of patrols ran out of bags. Need to
request approximately 20% more.
·
Treecycling
– we should be receiving
the hangers in early December already stamped with phone number to contact. Will
need to set up times to hang them. Also we need to have families commit to
helping out with trucks and trailers. We will begin picking up on Sunday,
January 2nd. Can we get flyers to the tree vendors to post so people
know when purchasing trees that there is a treecycling program in town. Another
possibility is to make a deal with the tree lots to take away their remaining
trees after Christmas. We will be taking a % off the top for the troop’s
general fund with the remainder being divided and put into each boy’s camp
fund based on the amount of hours he works (parent time counts if you drive).
·
CAMP
FUNDS– Some general guidelines to follow.
·
USAGE of CAMP FUNDS
1.
Camp
2.
Scout Outings with a cost of $25.00 or more. Funds can be taken per
person in the boy’s family.
3.
Eagle Court of Honor
4.
Uniforms and Scout Equipment will need the patrol advisor to bring this
request to the core committee for approval.
5.
Campership loans will need a written contract with the troop. Patrol
advisor will be the liaison when a request needs to be made.
6.
Guidelines to follow include: (discussed in May)
7.
Determine need.
8.
Member of troop 6 months or less.
9.
Six month contract to repay through personal money, Valcore, etc…
10.
After 1st year criteria for a loan will be involvement in
troop, participation in money earning opportunities.
11.
Limit loan amount to 25% of camp fee???
·
Campership Forms go to the
Council office. The camperships are for 50% of the in council camp fee. Out of
council camps do not offer camperships. A
campership will be discussed only between the Scoutmaster, Camp Coordinator and
the core committee members.
·
If
any points have been missed or need more clarification let Michelle Speir know
in order to amend the notes on camperships.
·
Two
troop banners have been
ordered.
·
Magnetic
signs were priced at $50.00
for a pair (size 12” x 12”). It was voted down as too costly.
·
Valcore
– Sharon Chaney has received the names for 2nd quarter. She
will update the camp funds. There is one more Valcore left in December (a
Farmer’s Market – 2nd weekend)
·

Valcore – Carl Bodin had
to scramble to line up boys for duties at the 4th of July concert.
The boys who were to be earning camp funds were unable to make it.
We need to communicate to all the families in the troop of the excellent
opportunity of doing Valcore and the funds it brings into the boys camp funds.
Again we need a flyer for Valcore to hand out to the families at the
Parent Meetings and at the Court of Honor.
Also under discussion was the capping of what each boy could earn with
Valcore. This was voted down as the
patrols rotate on regular basis, the number of boys participating varies
depending on personal schedules, and the amounts coming in from Valcore varies
each quarter. Also the money is
going to a good cause – each boy’s camp fund.
An additional issue that was decided was that the parents’ hours at
Valcore will not count towards their sons camp fund unlike the Christmas Tree
Pick up where it involves a driving commitment for two complete weekends.
·
4th of July
Concert – Flag presentation went well with some chaos on the concert
organizers part. Bobby Lee read the
introduction and we had enough boys participate to carry all the flags needed.
·
Eagle Court of Honor –
make sure we list Eagles from the past years so the boys will know how many the
troop has produced and maybe we could invite past Eagles to come and visit??
·
50th
anniversary of Troop 77 is coming up soon.
We will check with Betty Heise or Bill Goshorn as to when it is exactly.
We would like to plan a party! Title
possibility – “Scout Homecoming”. We
could invite past scouts, Eagles, parents, etc… to this event.
Rosa Llewellyn would like to see committees for the kitchen, decorations,
invitations, menu, entertainment, etc…
·
Overnight canoe trip –
Russian River/Casini Ranch – maybe this could be an annual trip?
Ray Bini said his cousin would give us the same spot again.
Everyone had a good time and the cost was reasonable.
·
E-scrip – Carl Bodin is
setting it up and will put it under the Speirs name.
·
Recruiting – Paul
Roberts is the Silvergate District Recruitment Chair.
Goal of increasing Boy Scouts by 20%.
Possible sources could be middle schools, high schools, etc…Promote
Venturing and Sea Scouts as well. He
needs from our troop a flyer for the unit with troop contacts, our outings,
learning opportunities, etc…Work on getting our troop in the paper under
distinctions 3 to 4 times a year.
·
Youth Protection Training
– it is required for all adult leaders. It
is available online and takes about 20 to 30 minutes.
This is in comparison to taking the district training in a room with
others for 2 hours. Maybe we could
offer it at a Parent Meeting??
·
Next parent meeting is in
August on the 9th? Question came up as to possibly combining the
Parent meeting with the Court of Honor – Chuck Speir said no, the two meetings
offer different content. The parent
meetings will involve the workings of the troop, expectations, events, etc…
and the Court of Honor is to celebrate the achievements of the boys.
